Warm Regards Studios Pty Ltd
Last updated: 27 August 2026
Warm Regards Studios Pty Ltd ("Warm Regards", "we", "us"), a company registered in Victoria, Australia (ABN 78 695 091 993; ACN 695 091 993), operates warm.regards.studio. This policy explains what personal information we collect when you use this website, including project enquiries, direct correspondence, resource downloads and waitlist signups, how we use it, and who it may be shared with. It is written to be read, not to hide things. It does not govern independent websites or services that we link to, including Gumroad, Skool and social platforms.
Information we collect
We only collect information that is reasonably necessary to run the site, respond to enquiries or provide something you ask us for:
- Project enquiries: your name, email address, project scope, desired timeline and any other information you choose to include in an enquiry.
- Direct correspondence: your name, email address and the information you send when you contact us directly.
- Resource and waitlist signups: your email address and the form or tag associated with the resource, list or waitlist you chose to join.
- Website usage data: technical and usage information generated when you browse the site, such as pages viewed, device or browser type, approximate location and referral source. Where applicable law requires prior consent, this is collected only after you opt in to Google Analytics.
How we use information
- to respond to project enquiries and discuss potential work with you.
- to send the resource, update or waitlist information you requested.
- to send marketing communications only where you have opted in. Every marketing email includes an unsubscribe option.
- to operate, protect and improve the website, including understanding aggregate site usage where permitted by applicable law.
- to comply with legal, accounting and record-keeping obligations.
We do not sell your personal information or use it to build advertising profiles.
GDPR and UK GDPR legal bases
Where the GDPR or UK GDPR applies, we process personal information to take steps at your request before entering a project engagement, to provide a resource or waitlist you requested, with your consent for marketing and optional analytics, for our legitimate interests in operating and securing the website and responding to business enquiries, and where necessary to comply with legal obligations. You may withdraw consent at any time; this does not affect processing that took place before withdrawal.
Service providers and third parties
We use a small number of providers to operate the website and deliver what you request. They receive only the information needed for their role:
- FormSubmit: delivers website enquiry submissions to our nominated inbox.
- Kit: manages resource and waitlist signups, including double opt-in email confirmation.
- Google Analytics: helps us understand aggregate website usage. Where prior consent is required by applicable law, it is loaded only after you opt in.
- Vercel: hosts and delivers the website and may process standard technical request data needed to do that.
- Sanity: provides the content-management and content-delivery systems used for the website.
- Gumroad and Skool: are independent platforms you may choose to visit for digital products, communities or learning materials.
If you make a purchase or create an account on an independent platform, that platform's own terms and privacy policy apply. Warm Regards does not collect or store payment-card details through this website.
Cookies and analytics
No invasive tracking. Limited to basic analytics. Where applicable law requires prior consent, we ask for your consent before loading Google Analytics or setting its non-essential cookies. If you decline, Google Analytics is not loaded. In other locations, Google Analytics may load automatically. The tools help us measure aggregate traffic and improve the site; they are not used by us for behavioural advertising. You can manage or block cookies through your browser, delete existing site data, or use Google's Analytics opt-out tool. Blocking cookies may affect how some parts of the website function.
Storage, overseas handling and retention
Our service providers may store or process information outside Australia, including in the United States and other countries where they operate. Where a cross-border transfer is subject to additional legal requirements, we use the applicable transfer mechanism and provider safeguards required for that transfer, which may include contractual commitments and standard contractual clauses. You can ask us for information about the safeguards relevant to your data by emailing warm@regards.studio. We retain project enquiries and direct correspondence for up to 24 months after our last contact, resource and waitlist information until you unsubscribe or the relevant list closes, and records we need for legal, tax or accounting reasons for the period required by law. Google Analytics retention is managed through its account settings. We use reasonable administrative and technical measures to protect information, but no internet transmission or storage system is completely secure.
Your rights, GDPR and complaints
You can ask to access, correct or delete the personal information we hold, withdraw from marketing communications, or raise a privacy concern by emailing warm@regards.studio. Where the GDPR or UK GDPR applies, you may also have rights to restriction, objection and data portability, and to withdraw consent at any time. We will normally respond to privacy requests within one month, subject to any lawful extension or verification we need. We acknowledge privacy complaints within 5 business days and aim to resolve them within 30 days. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner at oaic.gov.au or, where applicable, your local data-protection authority.
Automated decisions and data breaches
We do not use personal information collected through this website to make solely automated decisions that significantly affect you. If a data breach is likely to result in serious harm, we will assess it promptly and notify affected individuals and regulators where required by applicable law.
